Traveling with a Big Group: Tips for a Smooth and Memorable Journey
Planning a trip for 21 people spanning multiple generations is no small feat. From coordinating flights and accommodations to balancing the needs of kids, and everyone in between, the logistics felt overwhelming. But with careful planning and some helpful strategies, it’s possible to create an unforgettable experience that everyone will cherish. Here’s how we made it work for our recent family trip to Japan, which ended with a beautiful wedding in Okinawa.
1. Start Planning Early
When traveling with a big group, time truly becomes your best friend in the planning process. It is essential to begin organizing your trip as soon as possible to secure the best rates and availability for flights, hotels, and a variety of exciting activities. This early preparation can significantly enhance your overall travel experience.
What We Did:
We enlisted the help of Overton Travel, a travel agency experienced in managing large groups. They coordinated our accommodations in Tokyo and Osaka and arranged for a tour manager, a local guide, and transportation to keep everything running smoothly.
For Okinawa, accommodations were handled by the bride, who reserved a block of rooms for our group at the Ryukyu Hotel Nashiro Beach, where the wedding took place.
We created a shared master document that included everyone’s full names as they appeared on their passports, flight details, rooming lists, and any special information like dietary restrictions or allergies.
Tip: Use platforms like Google Docs to create a live, shareable document that can be updated in real time.
2. Prioritize Group-Friendly Accommodations
Finding accommodations that work for a large group can be tricky. My group first started to talk about Airbnb to help save on cost. However, this was not a great idea with so many different people with varied needs. Also Japan is known for its small spaces plus I certainly did not want to have to worry about a clean room at the end of the day. To keep the price accessible for all, we looked for 4-star hotels that are spacious, accessible and offer amenities everyone can enjoy.
What We Did:

In Osaka, we stayed at the Citadines Namba Osaka, an apartment-style hotel walking distance from bustling Dotondori area but yet relaxing for those who wanted some quiet time.
For Okinawa, the bride’s thoughtful planning ensured we had a beautiful beachfront location for the wedding festivities.

3. Consider Everyone’s Needs
Balancing the varying needs of multiple generations is essential to ensuring that everyone has an enjoyable and memorable experience during the trip. It is important to make sure to have a good balance of structured days filled with planned activities and engaging experiences, as well as free days that allow for relaxation and personal exploration.
What We Did:
All the activities were suitable for all ages. However we made sure to have a day for the little and big kids to enjoy Tokyo Disney Sea where they had a fabulous time and created some great memories.
We added a mix of structured activities (like the Kyoto day tour) and free time to let people explore at their own pace like a day in Osaka where I enjoyed walking in the Dontonbori are and enjoyed a fabulous Kobe beef meal.
Tip: Build flexibility into the schedule to accommodate unexpected changes or varying energy levels.
4. A Stress-Free Way to Manage Group Expenses
Managing payment for a large group trip can be one of the most challenging and intricate aspects of planning, but having a well-structured system in place truly makes all the difference in ensuring a smooth experience. For us, working with Overton Travel turned out to be a game-changing decision, as their organized approach simplified the process significantly.
What We Did:
Overton Travel created a dedicated website where each family member could manage their own payments individually, eliminating the stress of collecting and tracking funds manually.
This setup ensured that everyone could pay at their own pace while keeping everything organized and transparent.
They provided clear deadlines and automated reminders, so that we could focus on the excitement of our upcoming adventure.

5. Plan Group Transportation Ahead
Coordinating transportation for a large group can be quite stressful, especially when navigating the complexities of a foreign country. Various factors, such as language barriers and unfamiliar customs, often add to the challenge.
What We Did:
Overton Travel arranged for a dedicated tour manager, tour guide and private transportation to enhance our experience. As soon as we landed in the vibrant city of Tokyo, we were met by our drivers who were patiently waiting to take us directly to our hotel. Throughout our stay, we enjoyed full transportation services in both Tokyo and Osaka, which ensured seamless and efficient transfers between all planned activities.
Overton Travel pre-booked our tickets for the Shinkansen (bullet train) from Tokyo to Osaka, ensuring we all sat together. They also coordinated for our luggage to be picked up at our Tokyo hotel and delivered to our Osaka hotel. It would have been difficult to move through the train station and find room for 40 bags on the train.
Tip: Research group transportation passes or private transfers to simplify logistics and save money.
6. Keep Everyone in the Loop
Clear and effective communication is absolutely essential when traveling with a large group of people. You want to ensure that everyone is informed, organized, and on the same page throughout the journey.
What We Did:
As soon as we knew who would be going on the trip, we created a WhatsApp chat where we could start the conversation and find out everyone’s needs and preferences. We also share some fun social media links about Japan.
A couple of weeks before we left, Overton Travel held a meeting to get us ready for the trip. They reviewed our guide, which included a detailed itinerary, and we talked about local culture, money, and what to expect.
During the trip, we continued to use our group chat to share updates, like meeting points or last-minute changes.
Tip: Designate a chat where everyone can participate and to ensure you are all on the same page.
7. Capture the Memories
Traveling with a big group is truly a unique experience that deserves to be cherished and remembered. The shared adventures, laughter, and moments create lasting memories that bring everyone closer together.
What We Did:
In today’s world everyone has a camera in their pocket, making it easier than ever to document special moments. During our trip, our phones were constantly out snapping candid moments, group activities, and scenic views.
Thank to our tour operator, we also took plenty of family group shots to capture the joy of being together.
I decided to experiment with my new Insta360 Go, a tiny powerful camera. Whether clipped onto my hat for a first-person perspective or hand help for spontaneous shots, it allowed me to document our journey in a more immersive way. However I quickly realized that having the selfie stick would have made a huge difference, specially for wider shots .
Tip: Assign one or two people as the or take turns so everyone gets to be in the photos.
8. Embrace the Chaos and Have Fun
No matter how well you plan, unexpected challenges will arise. The key is to stay flexible, keep a sense of humor, and focus on enjoying the journey together.
What We Did:
We leaned on each other for support and made an effort to include everyone in decision-making.
When things didn’t go as planned, we adapted and found ways to turn hiccups into memorable moments.
Tip: Remember that the goal isn’t perfection but creating memories with the people you love.
